CloudConvert is an online file converter that turns one file format into another in your browser: Word to PDF, HEIC to JPG, MOV to MP4, WAV to MP3, and hundreds of other combinations. You don’t install anything, and the free plan gives you 10 conversions a day with files up to 1 GB. For most people that’s all they’ll ever need. For heavier use, it switches to a credit system that confuses a lot of first-time users.

This guide explains how CloudConvert works, how the free limit and credits really work, how to get the best quality from a conversion, what to think about before uploading private files, and when an alternative like Smallpdf, Convertio or a free desktop app is the better choice.

What CloudConvert does

CloudConvert is a general-purpose converter. Instead of specialising in one type of file, it covers most of the formats people actually use:

  • Documents: DOCX, PDF, ODT, RTF, TXT, PPTX, XLSX and more.
  • Images: JPG, PNG, WEBP, HEIC, GIF, SVG, TIFF and others.
  • Audio: MP3, WAV, AAC, FLAC, M4A, OGG.
  • Video: MP4, MOV, MKV, AVI, WEBM.
  • Archives and ebooks: ZIP, RAR, 7Z, EPUB, MOBI.

Beyond simple conversion, it can also merge PDFs, compress files, capture website screenshots, and run jobs automatically for businesses through an API. Most casual users only ever touch the main converter on the homepage.

How to convert a file, step by step

  1. Go to cloudconvert.com.
  2. Click Select File. You can upload from your computer, paste a URL, or pick a file from Google Drive, Dropbox or OneDrive.
  3. Next to the file, open the Convert to menu and choose the output format.
  4. Optional: click the wrench icon to change settings such as resolution, quality, bitrate or page range.
  5. Click Convert and wait for processing to finish.
  6. Click Download to save the result.

You can add several files and convert them together, which counts as several conversions against your daily allowance.

Free plan, credits and pricing explained

According to CloudConvert’s pricing page, the free plan includes:

Free plan limitValue
Conversions10 per day (resets daily)
Maximum file size1 GB
Maximum processing time5 minutes per conversion
Simultaneous conversions5
PriorityLow (paid jobs go first)

How credits work on paid plans

Paid plans don’t sell “conversions.” They sell credits. Each conversion has a base cost, and longer jobs usually use roughly one credit per minute of processing time:

  • Most conversions: 1 credit
  • Office documents to PDF: 2 credits
  • iWork (Pages, Keynote, Numbers) to PDF: 2 credits
  • PDF to Office formats: 4 credits

So a long video conversion can use far more than one credit, while converting a short Word document to PDF uses two. Failed conversions aren’t charged.

Packages vs subscriptions

  • Packages are one-off purchases of credits that never expire. They suit occasional bursts, such as converting a large archive once.
  • Subscriptions give you a monthly credit allowance that resets each month. CloudConvert says they can be up to 50% cheaper per credit, but unused credits don’t roll over.

Prices depend on how many credits you choose, so check the pricing page’s calculator for the current figures.

Tip: if you only hit the limit now and then, wait for the daily reset rather than paying. If you convert files every working day, a small subscription is usually cheaper than buying packages.

Getting the best quality: the options that matter

The wrench icon next to each file is where most of the quality decisions happen. A few settings make the biggest difference:

  • Images: set the width or height to avoid unwanted resizing, and set quality (for JPG) high enough to avoid visible artefacts. For screenshots and graphics with text, PNG usually looks better than JPG.
  • Audio: for MP3, a bitrate of around 192 to 320 kbps is a sensible range for music. Converting a low-quality MP3 to WAV or FLAC won’t improve it. It just makes a bigger file.
  • Video: choose the codec (H.264 MP4 plays almost everywhere), keep the original resolution unless you need a smaller file, and use the quality or CRF setting rather than a fixed bitrate if you’re unsure.
  • Documents: for Word to PDF, make sure unusual fonts are embedded in the original document, or the PDF may substitute them.

The golden rule: converting can keep quality or lose it, but it can never add quality that wasn’t in the original file.

ConversionWhy people do itWhat to watch
HEIC → JPGiPhone photos that won’t open on Windows or websitesKeep quality high; check orientation
DOCX → PDFSending a document that looks the same everywhereFonts and page breaks
PDF → DOCXEditing a PDFComplex layouts may shift; costs 4 credits on paid plans
MOV → MP4Sharing iPhone or camera videosLarge files take longer; watch the 5-minute free processing limit
WEBP → PNG/JPGImages from websites that apps won’t openTransparency is lost in JPG
MP4 → MP3Extracting audio from a video you ownChoose a sensible bitrate

One important point on that last row: CloudConvert converts files you have. It is not a tool for ripping other people’s YouTube videos. If that’s what you’re after, read our guide on how to get YouTube audio legally first.

Five everyday jobs, step by step

1. Convert iPhone HEIC photos to JPG in bulk

  1. Click Select File and choose all the HEIC photos at once.
  2. Set the output to JPG for the first file, then use the option to apply the same format to all files.
  3. Open the wrench settings and keep quality high (around 85 to 90) if you’ll print or edit the photos.
  4. Convert, then download the results. Remember each photo counts as one of your 10 free daily conversions, so large batches may need to be spread over a few days or done with credits.

2. Make a Word document into a PDF for applications

  1. Upload the DOCX and choose PDF.
  2. Open the PDF afterwards and check page breaks, fonts and any tables before you submit it anywhere.

3. Shrink a video so it can be shared

  1. Upload the MOV or MP4 and choose MP4 as the output.
  2. In the wrench settings, lower the resolution (for example from 4K to 1080p) and keep the H.264 codec for compatibility.
  3. Convert. Keep an eye on the free plan’s 5-minute processing limit for long videos.

4. Extract the audio from a video you recorded

  1. Upload the video and choose MP3 (or M4A).
  2. Set the bitrate (around 128 kbps is plenty for speech, 192 to 320 kbps for music).
  3. Convert and download.

5. Turn several images into one PDF

  1. Use CloudConvert’s PDF tools to merge files, or convert each image to PDF and then merge them.
  2. Check the page order before downloading. This is handy for scanned receipts or homework pages.

Using CloudConvert on a phone

CloudConvert runs in a mobile browser, so you can convert files on Android or iPhone without an app. Tap Select File to pick from your photos, files or cloud storage, then convert and download as usual. On iPhone, downloads go to the Files app. On Android, they usually land in your Downloads folder. For large videos, a stable Wi-Fi connection is far more reliable than mobile data.

Is CloudConvert safe for private files?

CloudConvert is run by a German company based in Munich, and its security page makes several useful commitments. Files are kept only for processing and deleted straight afterwards, since it doesn’t offer permanent storage. Transfers are encrypted, and the operating company holds ISO 27001 certification for information security. It also offers a data processing agreement for business customers who need one under data protection rules.

Even so, any online converter means uploading your file to someone else’s servers. A sensible approach:

  • For everyday files such as holiday photos, recipes or school assignments, an online converter is fine.
  • For sensitive documents like contracts, IDs, medical or financial records, prefer an offline tool on your own computer, or check that your employer approves the service.
  • Never upload documents that contain passwords, private keys or full card numbers, whatever the service promises about deletion.

CloudConvert vs Smallpdf, Convertio and offline tools

  • Smallpdf focuses on PDFs: compressing, merging, signing and editing. If most of your work is PDFs, its tools are more specialised, though its free use is limited.
  • Convertio is the closest like-for-like rival to CloudConvert, with a similar drag-and-drop converter and its own free limits.
  • Offline tools cost nothing and keep files on your computer: LibreOffice can export documents to PDF, VLC and HandBrake convert video, Audacity converts audio, and most operating systems can export images in common formats.

A good rule of thumb: use CloudConvert when you need an unusual format or you’re on a device where you can’t install software, and use a desktop tool for very large, frequent or sensitive jobs.

Choosing the right output format

Half of conversion problems come from picking a format that doesn’t suit the job. A quick reference:

You need…ChooseWhy
A photo for the web or emailJPG or WEBPSmall files, good quality for photos
A screenshot, logo or image with textPNGSharp edges, supports transparency
A document that looks identical everywherePDFFixed layout on any device
A document someone will editDOCXEditable in Word and most office apps
Video that plays on almost anythingMP4 (H.264)Near-universal compatibility
Music for any playerMP3Plays everywhere
Audio archive with no quality lossFLAC or WAVLossless, but much larger files

When a conversion fails

  • “Maximum processing time exceeded”: free conversions stop after 5 minutes. Shorten the video, lower the output resolution, or split the file.
  • “File too large”: the free limit is 1 GB. Compress or split the file first.
  • Daily limit reached: wait for the reset, or use credits.
  • Output looks wrong: try a different output format or adjust the options. Complex PDFs and unusual fonts are the most common causes.
  • Corrupt or password-protected input: check the original opens properly, and remove protection if you have the right to.

For most people, CloudConvert’s free plan covers every conversion they’ll need in a typical week. Learn the wrench settings, pick the right output format, and keep sensitive files offline, and it becomes one of the most useful bookmarks you can have. If you ever outgrow the 10-a-day limit, compare a small subscription against free desktop tools before you buy credits.

FAQ

Is CloudConvert free?

Yes, for up to 10 conversions per day with files up to 1 GB. Heavier use requires credits.

Does CloudConvert add a watermark?

No. Converted files are delivered without a watermark on the free plan.

Do I need an account?

You can convert without one. An account is needed for paid credits and to see your usage.

Why did one file use more than one credit?

Some conversions have a higher base cost (Office to PDF is 2, PDF to Office is 4), and longer jobs use about one credit per minute.

Can CloudConvert convert YouTube links?

It is designed for files you upload or link to directly. Downloading other people’s YouTube videos goes against YouTube’s terms.

Is CloudConvert better than Convertio?

They are close rivals. CloudConvert is known for detailed conversion options and clear security commitments, while Convertio offers a similar drag-and-drop experience. Try both with your own files, since free limits and results vary by format.

Can I use CloudConvert for work files?

Many businesses do, and CloudConvert offers a data processing agreement. For confidential material, check your employer’s policy on online tools first.
